§ XOPHIA · IN PLAIN TERMS

Xophia,
in plain terms.

The platform where the modules of your operation are built on your business logic. It connects what works, builds what's missing and replaces what creates friction. What stays and what goes is your call, made with data.

The hidden cost of a fragmented company

Every new tool solves one problem and creates one island. And many of those tools are off-the-shelf: designed for the average company, not yours. The cost never shows up on an invoice, but it is paid every month.

Manual reconciliation

Hours nobody sees

People reconciling spreadsheets, copying data between systems and chasing approvals over email. Work that creates no value and grows with every tool you add.

Duplicate definitions

Numbers that don't match

Finance, sales and operations compute the same KPI differently. Meetings are spent arguing which figure is right instead of deciding what to do about it.

One-size-fits-none

Tools that dictate how the business runs

A suite built for any company was bought. You pay for 100 % and use 30 %. And the team ends up working the way the tool wants, not the way the business needs.

People dependency

Knowledge locked away

Business rules live in three people's heads and in macros nobody dares to touch. When someone leaves, the process leaves with them.

Late information

Slow decisions

Answering a simple question means requesting a report, waiting days and assembling it by hand. By the time it arrives, the moment has passed.

Platforms piling up

One license per process

One vendor, one contract and one login for every half-solved problem. None of them talk to each other, and each adds fixed cost without adding value.

None of these costs go away by buying another standard tool. They go away by building your operation on your own logic.

One rule for every tool

This is not about replacing everything or keeping everything. Every system you run today gets the same question, and you answer it with data.

Does it deliver the value your business needs?

Yes: It stays and gets connected

If a system does its job well, Xophia connects to it and makes it one more source for the operation. No migrations, no retraining.

No: It is replaced by a module in Xophia

If the tool creates friction, forces people to work its way or costs more than it returns, the module is built in Xophia on your rules. One module at a time, once the numbers back it up.

The result is not one more layer on top of everything. It is fewer platforms, and the ones that remain earned their place.

What Xophia is

The platform where the modules of your operation are built on your business logic. Every module shares the same data, the same rules and the same controls as the others.

  1. Connect

    What works

ERP, accounting, banks, payroll, the systems that do their job well. Xophia connects through secure connectors and leaves them where they are.

  2. Build

    What's missing

The modules your business needs and no standard tool solves well: reconciliation, collections, approvals, sales follow-up. With your metrics, rules and owners, defined once.

  3. Replace

    What creates friction

Control spreadsheets, macros, email approvals, half-used SaaS. Each one is retired once its module in Xophia does the work, with AI agents executing under human control and leaving a record.

Before and after

Same business. What changes is what the operation is built on.

What it looks like in practice

Three modules already running, all born from the same question: the previous tool wasn't delivering the value the business needed.

How it starts

You don't start with the whole company. You start with one module, and the next one is added once the numbers back it up.

  1. Choose

The tool or process creating the most friction

The one eating the most hours, producing the most errors or forcing the team to work against the business. With its systems, owners and one clear success metric.

  2. Build

Build the module on your logic

We connect the systems that stay and write the module's rules, limits and approval points together with your team. Your way of working, not a suite's.

  3. Run

Run, measure and retire what's left over

The module works in production under supervision and with full records from day one. Once the result is measured, the old tool is retired and the next module is chosen.

What Xophia is not

  • It is not one more layer on top of everything. It is where the operation gets built, which is why you end up with fewer platforms, not more.
  • It does not replace for the sake of replacing. What works stays and gets connected. Every change is decided with data, and you decide it.
  • It does not impose a standard. Modules are built on how your company works, not on how the average company works.
  • It is not a chatbot. It performs real operational work, with human approval where it matters and a record of every step.
  • It does not promise what it cannot prove. Every figure we show can be traced back to its source.

§ Frequently asked

What people ask before they start

Straight answers, no fine print.

  1. Do I have to replace my current systems?

Only the ones that don't deliver the value your business needs, and that decision is yours. What works gets connected and stays. What creates friction is replaced by a module built in Xophia, one module at a time, once the numbers back it up.

  2. What happens to the data in a tool that gets retired?

It is migrated into the corresponding module before the tool is retired, with validation by your team. Nothing is switched off until the Xophia module is doing the work and the historical data is where it belongs.

  3. What happens if the agent makes a mistake?

High-impact actions require human approval before they run, according to the policy you define. Every action is recorded with its context, so it can be reviewed and corrected.

  4. How long until it delivers results?

The first module is usually in production within weeks, not months, because we start from a bounded scope and the systems you already have. Each following module reuses the previous connections and rules.

  5. Where does my data live?

In our managed cloud or in yours, depending on the agreed scope. Region, retention and access are defined in writing before deployment.

Start with the tool that costs you the most

Bring the process or platform creating the most friction. In 30 minutes with engineering you leave with a system map, what stays and what goes, and a concrete first module.
