A pipeline that reflects how you sell.
Your stages, your follow-up rules and an agent that flags which deal needs attention.
What costs sales teams today
What slows a sales team down even with a full CRM. Pick yours above and Xophia shows how it would be solved with your own sales rules.
The CRM doesn't match how we sell
The CRM's stages are everyone's, not yours. The team fills in fields it doesn't use, and what really happens with each deal lives in notes and conversations.
Knowing where we stand takes days
Knowing how the month is going means exporting, matching spreadsheets and asking every rep. By the time the number arrives, the week has moved on.
Nobody follows up receivables
The deal closes and the sale is counted, but nobody checks whether the invoice was paid. What was sold and what was collected end up as two separate conversations.
We pay for licenses nobody uses
The CRM and its add-ons are paid per seat, and many of those features go unused because they don't fit how the team sells.
From a stalled deal to approved coaching
A sales supervision module reviews the pipeline with your team's rules, flags risk with its evidence and keeps coaching pending the sales manager's approval.
Illustrative example with fictional data. Risk rules and each module's scope are defined with your team.
01 · Detect
A deal that stopped moving
Every morning the agent reviews open opportunities and compares how long each one has been in its stage with what's normal for its segment.
- Stage
- Proposal · 33 days
- Segment median
- 27 days
02 · Explain
An alert with its evidence
It flags the deal at risk and shows why: no meetings with the decision-maker and less activity than expected for that stage. Every signal points back to the CRM record.
- Expected meetings per week
- 1.6
- Observed meetings
- 0.4
03 · Approve
The sales manager decides
The agent drafts a concrete action for the rep. The manager approves, edits or discards it; only what's approved reaches the rep and is logged as a CRM note.
- Proposed action
- Book the sponsor before Friday
- Status
- Awaiting the manager
Where your team would start
We start with the pipeline. Whatever comes next uses the same connected CRM and the same definition of every metric.
- Sales supervisionReviews every rep's pipeline each morning with the same rules, flags deals at risk and drafts coaching the sales manager approves before it's sent.
- KPI copilotHow the month is going, by rep or by segment, with one definition for each metric and the source of every figure in view.
- Collections: overdue receivables ranked every morningWhat was sold and what was collected on the same foundation, so you know which of each customer's invoices are still open.
- Your next module, built on your rulesQuotes, commissions or channel follow-up, built to measure on the same connections and definitions.
Control and traceability, from your side
Designed so sales managers can trust every alert and the team knows what the agent sees.
No coaching without your approval
The agent drafts; the sales manager approves, edits or discards. Only what's approved reaches the rep and is written to the CRM under the manager's user.
Every alert, with its source
Every claim points to a CRM record and the metric that was used, so you can back up the conversation with the rep.
The agent sees only what it needs
Its CRM access is limited by role to the data it needs. It doesn't message customers or set a forecast number on its own.

- Data doesn't create value. Decisions do.Forty dashboards published, and leadership still asks for the report in Excel. Before buying another BI tool, review the data, definitions and decisions.
- Graduated autonomy: where the agent decides and where a person doesThe question isn't whether to trust an agent, but how much, for what and with what safety net. Autonomy is designed in levels, like self-driving cars.
Questions from sales teams
Do we have to change our CRM?
No. If your CRM delivers what you need, Xophia connects to it and it stays the system of record. If a tool creates friction, it can be replaced by a module, one at a time, with its data migrated and validated. You make that call, with data.
Which CRMs does it work with?
The reference module covers CRMs such as HubSpot, Salesforce or Pipedrive, and channels such as Slack, Microsoft Teams or email. Read and write scope is confirmed for each implementation.
Does the agent write to customers?
No. It reviews the pipeline and drafts coaching for the sales manager. It doesn't message customers, and nothing reaches a rep or is written to the CRM without approval.
Are the risk rules ours?
Yes. Stages, time frames and the signals that count as risk are defined with your team, and the agent applies the same rules to every rep, every week.
